BI-LINGUAL RECORDS BUREAU ASSISTANT

BASIC FUNCTION:

The Spanish speaking Records Bureau Assistant provides administrative support to the Records Bureau Manager, and is directly responsible for the client farms that the Records Bureau Manager assigns to them. This includes, but is not limited to data entry, managing errors and corrections, data integrity, report generation, and any on—farm assistance that is needed. This position reports directly to the Records Bureau Manager.

DUTIES & RESPONSIBILITIES:

  • Translates client trainings and documents for their farm staff use
  • Maintains the integrity of assigned client records.
  • Monitors assigned farms daily progress with all data entry.
  • Compiles accurate weekly production reports for veterinarians and production staff.
  • Compiles accurate reports for clients, as requested by the clients.
  • Compiles additional reports requested by veterinarians and/or research staff members.
  • Prints and documents counts of all fanow cards for client farms as required.
  • Actively participates in department staff meetings, training, etc.
  • Conducts farm visits, when requested, to assist with records.
  • Assists in training farm staff on the current records program.
  • Maintains Gilt Group worksheets for assigned farms.
  • Provides genetics companies with accurate, up to date information utilizing PICTrac.
  • Provides administrative support to the department manager and other members in department.
  • Performs other duties as assigned.

KNOWLEDGE AND SKILLS:

This position requires a high degree of accuracy in 10-Key and data entry, strong problem-solving and influencing skills, effective oral and written communication skills, and proficiency with the Microsoft Office tools (Excel, Word, PowerPoint, Outlook). Demonstration of Excel and 10-Key skills is required prior to offer to hire.

 

EDUCATION AND WORK EXPERIENCE:

  1. High School diploma required, two year degree preferred, AND
  2. 1-2 years working in a bi-lingual (Spanish/English preferred) professional capacity, AND
  3. One to two years’ experience in records management, OR
  4. Any similar combination of education and experience
