BASIC FUNCTION:

This position will assist the CVS Correspondence Team, Reception, Health Coordinator, and Office Manager. Primary responsibilities will include assisting the department with the support of the team of veterinarians, assisting the Health Coordinator with biosecurity, providing coverage for Reception, and assisting the Office Manager.

 

Duties and Responsibilities:

Primary responsibilities will include assisting the department with the support of the team of veterinarians including e-signing documents, travel arrangements, scheduling, transcription support, document creation, formatting and editing, updating contacts, veterinary time and billing, expense reports, image and article databases filing and retrieval, presentation creation, meeting set up, assisting with biosecurity including vehicle inspections, inventories, data entry and tracking, sanitizing equipment; assisting with lodging arrangements, events and projects and other duties as assigned.

Reception coverage includes but is not limited to providing daily lunch and vacation/coverage as needed. This includes answering and directing phone calls, handling emergency alarm calls, organizing catering for business meetings, reviewing conference room calendars for conflicts, assisting with the drafting/editing of the Pork Times company newsletter, managing the key boxes and master list, sending cards/flowers, creating/sending the Monday Memo, creating graphics for company events, maintaining the kitchen and meeting rooms/stocking supplies and beverages, checking e-faxes and routing to appropriate individuals, sorting the morning mail, inventorying and ordering supplies, receiving and signing for packages. This position is for the 8:00 am – 5:00 pm shift but flexibility to cover Reception 7:30 am to 4:30 pm as needed is required.

Performs other related duties as assigned.

Knowledge and Skills:

Requires solid knowledge of and experience with MS Office 365 including Outlook, Word, Excel, PowerPoint, Publisher, OneNote, Teams and SharePoint. Experience with Canva or layout and design skills helpful. Transcription experience preferred but not required. Requires a high degree of confidentiality, accuracy, attention to detail, dependability, effective oral and written communication skills, excellent interpersonal skills, and computer literacy. Veterinary or agricultural experience or knowledge a plus.

Education and Work Experience:

  • An Associate degree, OR
  • 2 years of experience in the field, OR
  • Any similar combination of education and experience
