Transcriptionist / Administrative Assistant

This position provides administrative support to veterinarians and management team with a variety of clerical and transcription related tasks. Primary responsibilities include transcription of veterinarian dictation, preparation of professional documents and presentations. Other responsibilities include answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, as well as additional clerical duties.

Essential Duties and Responsibilities:

    • Transcribe dictated recordings made by veterinarians utilizing transcription equipment
    • Prepare memos, correspondence, reports, and other documents as requested
    • Prepare presentations, special reports, letters, and research information
    • Compose, modify, and proofread correspondence
    • Compile reports and summaries of work; update, check and complete records, forms, and documents
    • Establish and maintain filing systems
    • Perform a variety of clerical duties (photocopying, faxing, filing, scanning, shredding, laminating, binding, process mail, etc.).
    • Perform other duties as assigned

 

Knowledge & Skills:

Prior experience working in a professional office environment is required. Position requires proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).

Education/Training/Experience

  • Associate’s degree required (Business or Administrative Emphasis)
  • Previous transcription experience and/or medical terminology required
  • A minimum of 3 years’ experience in a professional office environment preferred

  • Must demonstrate excellent verbal and written communication and strong organizational skills with attention to detail

  • Possess excellent phone etiquette

  • Possess exceptional interpersonal communication skills

  • Ability to work independently on assignments as well as accept direction on given assignments

  • Ability to work under frequent time pressures

  • Able to multi-task

  • Ability to sit, stand, bend, kneel, walk for extended periods of time
